Terms and Conditions for Trip Booking

It is our great pleasure to welcome you to Glory Adventure Pvt. Ltd. By making reservations with us, you enter into a contract of this nature, terms, and conditions which are intended to create order regardless of who the client may be. It is our wish that clients go through them to equip themselves with their obligations and the company’s policies.

The Agreement

The contract is created on the basis that when a Client places a trip with Glory Adventure Pvt. Ltd., there will be a legally binding contract between the client and the Company. The agreement is established once your deposit is made. We will then acknowledge receipt of the deposit and confirm your booking in writing, we do this mainly via email.

At this stage, you will receive an email with a lot of details, including your travel itinerary, the days and dates of travel, the method of payment, and possibly, other details about the trip pertinent at that moment. You must interact with the confirmation email with due regard. You must check that the name and dates among other things are the same as those on the supporting passport or other such identification.

However, if you are finding someone else, you will be the main point of contact and will be entirely responsible for people who you book on their behalf, making payments and any alterations or cancellations that the person makes. You will be responsible for any mistakes in the information given, including erroneous spellings.

Mistakes or discrepancies can however not be attributed to the Company, except for those cases where an error is made on the Company’s part.

Trip Booking

You may book our trips, which include treks, expeditions, and tours through our website, telephone, and visits to our offices. A binding contract comes into existence only after we provide a confirmation invoice or email to the client.

Regarding the prices and the availability of the services, it is important to note, that no binding contract exists until the confirmation is issued. The Company complies with the provisions of this agreement strictly, and no additional services are endorsed save the services offered in this agreement.

Deposit Requirement for Trip Booking

We require that you pay a deposit whenever you book with us. Such a deposit is a requirement of booking and the details differ according to the place of your travel: for trips to Nepal, 25% of the trip amount should be paid during booking.

  • For Trekking trips to Nepal: 10% is paid during the registration process. When a client arrives in Kathmandu, all other dues must be settled in full, before the commencement of the trek.
  • For trips to Tibet/Bhutan: All payments required during trips to Tibet or Bhutan should be paid in Nepal just before departure. Please be advised that the costs of organizing such trips are increased by 4% service charge.

Payment Methods

We offer several payment options for your convenience:

Bank Transfer: In this case, the payment is performed with a wire transfer from the client’s bank account. Such information will be provided upon the request of the customer. Clients must note that any transfer delays or mistakes are entirely out of our control. If the receiving side receives less than the mapped amount due to intermediary banks, the difference must be paid upon arrival over the required amount and this too will be paid for the difference only in the case of all the intermediary banks.

Credit Card: You can pay by Visa, MasterCard American Express, or UnionPay. A secure section will be available when booking your trip, and you will be able to fill in your card information at this time.

Money Transfer Services: We also have the option of using transfer services to make the payments such as Western Union. Payment details will be made available once the booking has been made.

Credit Card Payment

When the bookings are being made and such with credit cards, you will be asked to submit your credit card information. A secure payment site will be presented so you can complete the payment after this step. We charge an extra 4% service fee for credit card transactions for Nepal trips.

Final Payment

Final payments for the trips are due as follows:

  • For Nepal Trips: The balance of your trip cost is paid upon reaching Kathmandu, either in cash (USD or equivalent) or credit card payment. Credit card payments for ‘final balance’ attract a fee of 4%.

For Tibet/Bhutan Trips: The remaining amount is also payable in Nepal before departure and a service charge of 4% applies to this amount also.

Concerning last-moment reservations, full payment may be required in advance, subject to availability. Last-minute reservations up to 1 day before departure for trips to Nepal and ten days before departure for Tibet and Bhutan are acceptable.

Trip Cancellation by the Client

In certain circumstances, there are just some emergencies and some causes or plans just should be deleted. If such a decision is made and there is a need to cancel the trip, there are some conditions or rules that we try to adhere to. The first step is to provide the written cancellation request together with the reason for such consideration. The charge in return is always intended to be lower or limits the amount any given person had in times of making reservations:

Less than 7 days (No Show): If the client leaves without canceling the booking and without giving advance notice, a Full refund is given including the deposit.

Between 8 days and 30 days: The client is not refunded the deposit but may receive 50% of the rest if they cancel before 8 days.

More than 31 days: All Deposits and other balances of the account paid are repayable in full. If you opt to cancel your booking when the trip has already started, you are not entitled to any reparation for what you regard as unutilized services like accommodation, food provision, transport, or excursions. This is done so that our suppliers who have already executed the service and were not compensated do not suffer losses.

However, if you wish to alter the date of the trip or to schedule it afresh within five years from the time of making the original, the deposit made for the original booking can be transferred to the same trip or a similar one. In such cases, the cost of $50 for each individual for the changing of dates will be charged together with all other expenses in changing the dates of the trip.

Cancellation of a Tour by the Company

The Company makes every effort to take all actions necessary so that no claims arise during your vacation, however, each company has to right to cancel any tour without giving a reason, it can be due to conditions that are not in our control. Such reasons may include natural calamities, unemployment strikes, unfavorable weather conditions, pandemics, or some events that were not anticipated and made the journey either impossible or unsafe to proceed.

In case the trip is canceled by us before departure, you will receive a refund for what you have paid, except for the fee for the cancellation of the Nepal trip, which is 10%, and for the Bhutan and Tibet trips, which is 50%.

Concerning the trip which has already commenced but has been canceled due to such situations which were beyond our control, we will refund you the unused costs of your trip based on costs that have already been used in the provision of such services as transport, accommodation, meals and engagement in activities.

Passport and Visas

It is your responsibility to make sure you possess all the necessary travel documents to undertake the trip. A passport is required for all travelers, which must be valid for at least 6 months upon departure.

  • For Nepal: Visas are available on entry at Kathmandu International Airport and also at a Nepalese embassy or consult with the travelers’ home country.
  • For Tibet and Bhutan: The Company will help you get particular travel permits during the booking process.

You should verify the visa and other entry details with the concerned authorities before heading on the journey.

Complaints

Please report the tour leader or guide in case of any problems or issues that you’re not satisfied with during your tour. Our people are trained to solve problems where they occur or refer them to higher authorities. We strive to appreciate your confidence in us and we know that your criticism is instrumental in perfecting our services.

Acceptance of Risk

While every effort has been made by Glory Adventure Pvt. Ltd. to provide for your safety and comfort, it must be understood at the outset that adventure travel does involve a reasonable amount of risk which may include injury, illness, accident, or even death. When you make a reservation with us, you even recognize and take on these risks as part of the adventure during your travels.
